How to Write an ATS Friendly Resume That Recruiters Find
How applicant tracking systems actually work, what recruiters search for, and a step by step method to make your resume easy to find.
Short answer
An ATS friendly resume is one that an applicant tracking system can parse cleanly and that a recruiter can find with a skills search. Use a simple single column layout, standard section headings, a .docx or text based PDF file, and the exact skill and job title wording from the posting where it truthfully describes you. Jobscan found a detectable ATS at 97.4% of Fortune 500 companies in 2026, so this matters for most large employers.
What an applicant tracking system does
An applicant tracking system (ATS) is software that employers use to receive applications, store resumes, turn them into searchable fields and move candidates through hiring stages. Common systems include Workday, SAP SuccessFactors, Greenhouse, Lever and iCIMS.
ATS use is close to universal among large companies. Jobscan, a resume software company that checks the career sites of every Fortune 500 company each year, detected an ATS at 487 of 500 companies (97.4%) in 2026. The share has stayed between about 97 and 99 percent since 2018.
| Year | Fortune 500 companies with a detectable ATS |
|---|---|
| 2018 | 98.2% |
| 2019 | 98.8% |
| 2023 | 97.4% |
| 2024 | 98.4% |
| 2026 | 97.4% |

Does an ATS reject your resume automatically?
Mostly, no. The common belief that a robot silently deletes most resumes is overstated. In practice the system stores and organizes applications, and people decide who moves forward, often by searching and filtering inside the ATS. In Jobscan's recruiter survey, 76.4% of recruiters said they search and rank candidates by skills taken from the job description.
That has two practical consequences:
- If the ATS cannot read your resume correctly, your skills may not show up in a recruiter's search.
- If your resume does not use the words the recruiter searches for, you may not appear near the top of the results.
Some employers do use knockout questions, such as work authorization or required licenses, which can screen applicants out automatically. Answer those application questions carefully.
How to make your resume ATS friendly
Step 1: Collect the target job description
Save the posting before you write. Highlight the job title, the hard skills, the tools and any certifications it mentions more than once. These are the terms a recruiter is most likely to search.
Step 2: Use a simple, parseable layout
- One column, with clear top to bottom reading order.
- Standard fonts such as Calibri, Arial or Georgia at 10 to 12 points.
- No text inside images, icons, charts or text boxes.
- Contact details in the main body, not in the page header or footer.
- Save as .docx or a text based PDF unless the posting asks for a specific format.
Step 3: Use standard section headings
Use headings the software expects: Summary, Experience, Education, Skills, Certifications. Creative labels such as "Where I have made an impact" can confuse parsing.
Step 4: Match the posting's language truthfully
If the posting says "project management" and you wrote "led initiatives", add the posting's phrase where it is accurate. Include both the full term and the abbreviation the first time, for example "search engine optimization (SEO)". Never add skills you do not have: interviews will expose them quickly.
Step 5: Prove each key skill with a result
A skills list helps search, but recruiters trust skills that appear in context. Write experience bullets that pair an action with a measurable outcome:
| Weak bullet | Strong bullet |
|---|---|
| Responsible for customer support | Resolved about 60 customer tickets a week in Zendesk, keeping satisfaction above 95% |
| Worked on data reports | Built weekly SQL and Tableau sales reports used by 12 regional managers |
Step 6: Test the file before you apply
Open your resume, select all, and paste it into a plain text editor. If the order is scrambled, dates are separated from jobs, or text is missing, a parser may struggle too. Simplify the layout and test again.
Resume format: what to use and what to avoid
| Use | Avoid |
|---|---|
| Reverse chronological experience | Unusual layouts that bury dates |
| Standard headings | Headers and footers for key information |
| Plain bullets | Tables and multi column designs for core content |
| Month and year dates, consistently | Graphics, skill rating bars, photos (in most countries) |
| .docx or text based PDF | Scanned image PDFs |
Frequently asked questions
What percentage of companies use an ATS?
Jobscan detected an applicant tracking system at 97.4% of Fortune 500 companies in 2026. Use is lower and more varied among small businesses, but most mid size and large employers use one.
Is PDF or Word better for ATS?
Both usually work if the PDF is text based rather than a scanned image. Choose .docx when you are unsure, and always follow any format the posting requests.
Should I copy the job description into my resume?
No. Use the posting's key terms where they truthfully describe your experience, but write your own bullets with your own results. Pasting the description reads as spam to the recruiter who reviews you.
How long should an ATS friendly resume be?
One page is usually enough for early career candidates and two pages for experienced professionals. Length matters less to the software than clear structure and relevant skills.
